Almost every window-furnishings business starts on spreadsheets, and for a while they’re perfect — free, flexible, and they do exactly what you tell them. The trouble starts when the business grows past what one person can hold in their head. Here’s how to know you’ve hit that point, and what to look for when you move.
Signs you’ve outgrown spreadsheets
- The same data lives in three places. A customer’s details are in the quote sheet, the job tracker and the accounting file — and they don’t match. Someone’s job is now “keeping the files in sync,” which is a job no one should have.
- Only one person understands the pricing sheet. When the master quote spreadsheet has grown so intricate that one person maintains it and everyone else is afraid to touch it, you have a single point of failure, not a system.
- You can’t answer “where’s that job?” quickly. If tracking a job from sale to install means calling the factory and checking two spreadsheets, your customers feel that lag.
- Reporting is a monthly archaeology dig. Pulling sales by rep, or conversion by lead source, means an afternoon of copy-paste. So it doesn’t get done, and you’re steering blind.
- Mistakes cost real money. A wrong fabric code or a formula someone dragged one row too far becomes a remade blind at your expense.

6. A migration you’ll actually survive
The best software is worthless if you can’t get your pricing and data into it. Ask how migration works, who does it, and how long until your team is quoting. Local, hands-on support matters more than a long feature list.
